01 Who we are and what these terms cover #
Track Workflow provides a cloud platform for managing construction projects: documents and drawings, requests and submittals, daily, weekly and monthly reports, minutes of meeting, planning, procurement, risks, tasks and 360° site capture (together, the “Platform”).
These terms apply to the Platform, to our website and to any support we give. They form an agreement between Track Workflow and the organisation that opens a workspace or signs a quotation (the “Customer”). If you accept them on behalf of an organisation, you confirm that you are authorised to do so.
Where a signed quotation or order sets out something different from these terms, the quotation or order applies for that point.
02 Words we use #

03 Accounts and workspaces #
- Give accurate details when you register, and keep them up to date.
- The Customer names at least one administrator, who invites Users and decides through roles and permissions what each of them can see and do.
- Keep sign-in details secret. Every account is for one person; accounts must not be shared.
- The Customer is responsible for what its Users do in the workspace. Tell us at once if you suspect that an account has been misused.
04 Free trial #
Each project can start with a free trial of 60 days, with the full Platform and without payment details. One trial is offered per project.
Before the trial ends we contact you. To keep working on the project, subscribe before the last day. If no subscription follows, we may close the trial project and delete it 30 days after the trial has ended; until then you can ask us for an export of its data.
05 Subscriptions, fees and payment #
- A subscription is per project and runs for one year. Its price follows the project’s built-up area (BUA), as stated in the Quotation.
- Projects with a built-up area above 100,000 m² are priced individually.
- A Quotation is valid for 30 days from its date.
- Prices are in Saudi riyals (SAR) and exclude value added tax (VAT) of 15%, which is added to each invoice.
- Invoices are due within 10 days of the invoice date. If you disagree with an invoice, tell us within 7 days of receiving it.
- If an invoice remains unpaid after a written reminder, we may suspend access to the project until it is settled. We do not delete data because of a late payment without warning you first.
Unless the Quotation says otherwise, a subscription renews for another year at the then current price, and either side can end it by giving notice at least 30 days before the renewal date.
06 Acceptable use #
Use the Platform for managing your projects and in line with the law. In particular, do not:
- upload content you have no right to use, or content that is unlawful;
- try to reach other Customers’ workspaces, test the Platform’s security without our written agreement, or interfere with its operation;
- copy, resell or rebuild the Platform, or access it with automated tools except through features we provide for that purpose.
If a User breaks these rules, we may suspend that User’s access. Where possible we contact the Customer first.
07 Your data #
The Customer owns the Customer Data. We use it only to run the Platform for the Customer, to support its Users and to keep the Platform secure — never to sell it, and never to advertise to anyone.
You can export documents and reports at any time while the subscription runs. After a subscription ends, the project stays available to export for 30 days; after that we delete it, apart from copies we must keep by law and copies in backups, which are overwritten in their normal cycle.

08 Confidentiality #
Both sides keep confidential what they learn about each other’s projects and business — drawings, schedules, budgets, prices and contracts included — and use it only for the purpose of this agreement. This does not apply to information that is already public, or that one side must disclose by law; in that case it tells the other side first, where the law allows.
09 Availability, support and changes #
We work to keep the Platform available around the clock, apart from planned maintenance, which we try to schedule outside working hours and announce in advance. Support is available by email and through the contact form on our website.
We keep improving the Platform. We may change or replace features, but we will not remove a core feature you depend on during a paid subscription year without offering an equivalent.
10 What the Platform is — and is not #
Track Workflow is software for recording, coordinating and reporting on a project. We do not design, supervise or carry out construction work, and we are not a party to the contracts between owners, consultants and contractors. Approvals, instructions and decisions recorded in the Platform are those of the Users who make them.
11 Intellectual property #
The Platform, its software, design and brand belong to Track Workflow. For the length of the subscription, the Customer and its Users receive a non-exclusive, non-transferable right to use it for their own projects.
Documents, reports and other content created with the Platform belong to the Customer, or to whoever owns them under the project’s own contracts. If you send us suggestions, we may use them to improve the Platform without any obligation to you.
12 Liability #
We are liable without limit where the law does not allow a limit, for example for intent or gross negligence. Otherwise, our total liability under this agreement in any twelve months is limited to the fees the Customer paid for the affected project in those twelve months, and we are not liable for indirect loss, lost profit or project delays.
Keep your own copies of documents that matter to you. We back up the Platform regularly, but no system can rule out every loss.
13 Suspension and termination #
Either side can end the agreement with effect from the end of the current subscription year, as described under “Subscriptions, fees and payment”. Either side can end it at once if the other seriously breaches it and does not remedy the breach within 14 days of being told in writing.
Fees already paid for a running subscription year are not refunded, unless the agreement ends because of our breach.
14 Changes to these terms #
We may update these terms, for example when the Platform or the law changes. We announce important changes by email or in the Platform at least 30 days before they apply. A change to the price of a running subscription year needs your agreement.
15 Governing law and language #
This agreement is governed by the laws of the Kingdom of Saudi Arabia. Both sides first try to settle a dispute amicably; if they cannot, the competent courts of the Kingdom of Saudi Arabia decide.
These terms are published in Arabic, English and German. If the versions differ, the Arabic version applies.
